"compliance" backup?

Hi

I've read on several places about this being useful for compliance reasons - I have used the product personally and love it, and am now trying to upsell it to a few of my customers.

I know I can edit the timer to once every 5 minutes if I wish - but, what happens if an end user deletes an email (or shift+delete) the moment it comes in?

Basically, I know about Exchange Online Plan 2 and third party compliance solutions that involve changing MX records and using an external store, however, I was wondering if there are any best practices for utilising Veeam in this way, or, should I ignore the "compliance" wording and simply think of it as an on demand/automatic backup tool?

Hi William,

What you are looking at (I think) is legal hold, and not specifically compliance. You are right in knowing that when an email gets deleted in between the schedule, we won't have it in the backup. Legal hold (which is an additional part in O365 that comes with a certain plan (don't know about my head the exact plan)) works on journaling.

Are you interested (just for my understanding, not promising anything :-)) for having this type of backup also in our solution? Even though that would mean that you would need additional download / storage space and resources.

Hi Mike,

I'm keen to cut down on the amount of tools I have to use and monthly licensing! - I have seen the Official Microsoft product (https://products.office.com/en-gb/excha ... ving-email) along with Exchange plan 2, but, it raises the question of who owns the data and will Microsoft support accidental deletion etc. (e.g. the whole point of wanting an external backup)

If Veeam can do everything - then that is great.

At the moment, I have a customer in finance who needs a 100% record of all communications stored for 6 years (I think it is, off the top of my head) - at the moment, we use a third party service that has the MX record and stores all mail before delivering to Exchange. IF we need, we can do a full search at any time on sent/received messages and recover.

I know Veeam specialises in backup and without integrating a mailserver, I am not really sure how you would achieve this - but, if there is some way to "hook" in to Exchange deeper, backup the mail flow logs and keep a 100% record, that would be awesome.

Hi William,

I have this idea that this can be achieved through the use of a journaling inbox but not so certain to be honest. But it might be something that we take a look at. I will add it to the ever growing list of feature requests for discussion. Feel free to provide additional information or specific must haves that you believe is necessary for this type of functionality, that eases the conversations ;-)

I met with a customer today who is using a different solution than us to archive O365 e-mails. But he had the same concern of wanting to make sure every e-mail was grabbed, and he didn't want to pay for the journaling inbox feature in O365. His solution? Forbid users from deleting items < 14 days old. This way even if his solution suddenly isn't grabbing e-mails for a couple of days, it shouldn't be an issue. The same thing should work when using VO365. Simply forbid users from deleting e-mails for a period of time that's longer than the schedule you've configured within VO365.

Hi Guys,

I am facing a similar requirement from a customer who wants to grab every single email of O365? Can we do something about it? Forbidding users from deleting emails is not an option.

The only way this can be achieved is by using a journaling inbox as I already said. But, with O365, a journaling inbox means that you need something on-premises. And that you can backup with VBO 2.0. If they want to use litigation holds or similar, we protect that also with 2.0

Hi Mike, Firstly, thanks for considering all these suggestions and questions! We're using the O365 Veeam backup and I love the simplicity, search and export functionality. I'm not sure what you mean by a journaling mailbox but we too require a legal archive of every single email sent and received so are using MailStore.com however this software lacks the simplicity and consolidation of the Veeam tools and because we use both tools we effectively have two copies of everything! If this feature could be added to the O365 Veeam backup, I for one would be extremely grateful and I know a number of other businesses that would be also.
