Exclude Sharepoint sites by distribution group?

Hi,

We have tho following situation which we would to backup. A school wants to backup everything of its personnel and exclude data of all students.
  • Exchange Online / Only personnel
  • OneDrive - SharePoint Personal / Only personnel
  • SharePoint Sites / Only sites from personnel, no sites / content from students
  • Teams / No backup
The goals are:
  • Add new personnel automatically
  • Add new SharePoint sites automatically
  • Avoid licensing students
Backup job configuration:
  • Source / The entire organization
  • Exclude / Students by distribution group
How will this behave regarding SharePoint Sites?
Will sites / site content belonging to students be skipped?
Will it meet our goals?

Bastiaan,

It will skipp the personal sites of students. However, I am not sure if this is what you mean. Because all the "normal" sharepoint sites will be protected because you have entire organization

Yes, I know it will skip the personal sites, but my concern is regarding the "normal" sites. It's unclear how excluding works with them.

So, because entire org is selected, despite of the students being excluded, they will require a license because having access to certain "normal" sites?

Hi Bastiaan,

Technically, licenses for students with access will not be consumed in the product. From the EULA perspective, I believe there're some exceptions/special conditions for Edu tenants - you can discuss it with your Veeam SE or sales representative.

Hi Polina,

We need to be 100% sure, so this passage taken from the user manual is not accurate?
Additionally, each user in your Microsoft 365 subscription (or on-premises deployment) that has been granted access to team, communication, collaboration and other non-personal SharePoint sites that you plan to back up must be licensed. If you have a hybrid SharePoint deployment (on-premises Microsoft SharePoint and SharePoint Online), and the same user has access to both, then only one Veeam license is required.
Please confirm the following statement: When selection entire organisation as source, excluding users by distribution group will backup all non-personal / normal SharePoint sites but will not require a license for the excluded users.

Hi Bastiaan,

The manual is accurate. According to our EULA, each user granted access to a backed-up site/team must have a license. However, if the personal data of such users are not protected, they will not increase the license count in the product.

To the best of my knowledge, there are some special conditions for educational organizations, but is better to confirm with your Veeam representative.
When selection entire organisation as source, excluding users by distribution group will backup all non-personal / normal SharePoint sites but will not require a license for the excluded users.
This is correct. Excluded users do not require a license.
