Exporting a mailbox to PST but not the "Permanently Deleted Items" folder

Post by jearp-ppt »

Hi,

Backing up with Veeam for 365 and using Exchange Explorer to export a mailbox to PST. We need to do this to ship PSTs as part of a company merge for a handful of mailboxes.

The process works fine, but one mailbox was over 100GB. We had the user trim a good 50% of that, but when we export from Explorer, the exported PST is the same.

So that leads me to the following questions:

1) Does Veeam backup "recoverable items" folder from O365 mailbox?
In the O365 mailbox, we see all the deleted items live in here until the O365 retention expires. Which is 14 days by default I believe. Does Veeam back this folder up? If so, where does it put it?

2) What is the "Permanently Deleted Items" folder in Veeam / explorer under each mailbox?
My assumption here is that as we have a 7 year retention in Veeam, anything that gets deleted from the users Inbox, rather than being deleted from the backup will simply get moved in to this folder to comply with retention. Though I've not found any documentation to confirm this or not yet.

3) Is it possible to do an export of a whole mailbox to PST, but exclude the "Permanently Deleted Items" folder? For what it's worth, we will be using the filter of Modified:<06/06/2023 for example, to allow us to do an initial copy, then at a later date, the final delta copy from that date on. The date part works just fine - but we need a way to get the export to not have all the items that we have already deleted as we do not want to migrate them. Again, right click, export to PST works, we just need a way to prevent the deleted items from being exported too.

Any info on any of these 3 questions would be a good start please.

Hi James
The process works fine, but one mailbox was over 100GB. We had the user trim a good 50% of that, but when we export from Explorer, the exported PST is the same.
What retention type does your VB365 repository use? Snapshot retention or Item Level?
And did you load the Explorer with deleted items or without?
1) Does Veeam backup "recoverable items" folder from O365 mailbox?
Yes. They should be visible in the folder "Litigation Hold Items" in your VB365 explorer.
They will only be protected if Litigation Hold Items are not excluded from the backup:
https://helpcenter.veeam.com/docs/vbo36 ... tml?ver=70
3) Is it possible to do an export of a whole mailbox to PST, but exclude the "Permanently Deleted Items" folder?
Folder exclusion is not possible in the UI. But you can use Powershell for the PST export and include only specific folders with the -folder parameter: https://helpcenter.veeam.com/docs/backu ... st&ver=120
