Retention regarding backup change

Post by DenisK »

Been involved with Veeam for a very, very long time, but new to the cloud stuff.

We currently have Veeam Data Cloud for M365. We have the flex variable license. My rollout was a bit rushed and I should have asked these questions early on. So, thanks in advance to anyone that can help me understand the process.

Questions
(1) We have offboarded a user who left for another company. I have released the M365 from the user and converted their mailbox as a shared mailbox. I still have the user in the current VDC backup config. I have extra licenses and Veeam is complaining this user, still in the backup job, has no M365 license. I get that. If I removed this user from the current backup job, will the user's data still be accessible? When initially setting up VDC, I believe I set retention for 7 years or higher. Everything seems to be working like clockwork as you would expect from Veeam, but I'm a bit fuzzy before removing this user from the job and wanted to get confirmation of my understanding.

(2) While playing with the settings, I see the same user as a different object that I can add to an existing backup job, but is definitely noted as a shared account. Once I remove the original user, can I assume I can add back this user as a shared object with no license warnings?

(3) Lastly, I have been poking in the portal and can't seem to find what my initial setting that I chosen for retention. I know VBR like the back of my hand, but VDC not so much just yet.

Thanks in advance.

Hi DenisK!

1. Correct, we retain data for your retention period, regardless of if the account is currently protected. 31 days from the last time we backed up the user is when we release the license automatically, and your data is retained for the duration you specified at onboarding.
2. Correct :)
3. Make sure you have the 'View Repositories' RBAC setting enabled and you will see this under Settings > System > Backup Repositories in the old UI, in the new UI if you've been onboarded to this, go to settings and then backup repositories

Thanks for being a continued customer!
Michael
