VeeamONE change E-Mail template used for sending reports

We configured VeeamONE to send out reports to customers.
Currently we are testing this and would like to additionally modify/customize the E-Mail Template which is used according to our ideas.
(Like Company "Branding" and other stuff)

How can this be achieved? I hope this can be modified.

Support could not help and advised to post this here in R&D Forum.

Hello Udo,
For the email template of Reporting, you can customize your logo that goes attached in the reports, yes: What other elements you would be interested to customize from that email report in particular?

Hello Jorge,

replacing the logo within the reports that we have already done.

What we further would like to do is modify the default E-Mail Template which VeeamONE uses
Like the text and subject from the E-Mail which is sent out with the report(s).

Because that looks a bit empty and we would like to add further information there.
Like "do not reply to this email"
and "If you have questions or whatever please reach to the Backup Team or responsible person..."

Such additional information and also adding our logo and some legal information and so on...

Currently the default Mail looks too "empty" at has a bit of a "spam" charakter...

At the moment the default tremplate looks like this:

Hello Udo,
This is not possible today, I have checked with Developers. We can surely add it for the future to expose these settings, but cannot say in which release will be added.

Veeam ONE Reports have local schedules, meaning you can schedule the Reports to land on a path, and use your own email pipeline (PowerShell script for example), to send the email with the attachment, as much configuration as needed, you can see some examples on how to take PDFs and send them securely using MS365 Auth: Thank you!

thanks for your reply.
That was also my idea. But I wanted to check first if we could like "use" the VeeamONE "E-Mail send-workflow/mechanism" for this.
But that is not possible currently, correct? Is that maybe planned?

What about more "playroom" regarding the design/content of the E-Mail which is sent out by VeeamONE?
Is there something on the horizon, maybe with VeeamONE13?

Also there some other points I found which would like to inform.

1. When a customer wants to have individual reports, for example:
Database Log Protection History + Workload Protection History
So Database Log Protection History.pdf + Workload Protection History.pdf
this currently means for each one there will be sent an E-Mail by VeeamONE.

Only "Workaround" is the merge these 2 reports with the report builder into 1 file,
so it can be sent via 1 email, correct?

What I'm getting at:
If a customer wants like 7 reports, which intentionally do not have to be merged into a single file,
he will be "spammed" with 7 emails and each one of them contains one report.
Usecase would be that he needs invididual reports because each one of them targets a different IT/application team.

2. In the PDF reports you cannot click the "fast links" within the table of contents which directly bring you to that section of the report.
This works in the Excel and also in the Word variants of the same report(s).
So in PDF you gain security but lose comfort in comparison to Excel/Word.
Support said that is a "known limitation" or "expected behavior".
I somewhat disagree and see no issue why this should not be working.

3. In the subject of the E-Mail I would like to include the month for which the reports are.
Background the reports are generated on the first day of every month for the PAST month.

And the only option that is give as variable is %DATE% which just inclued MM/DD/YYYY of the time where the report is "created".
But that would not match the content of the report.

Same does also go for the file_name which is created.

Nothing planned just yet. We will discuss with the team and see how far we can go with this customization and when we can land it in future releases.

Yes, you either send all the emails one by one with an Schedule to the same address. You can just save them into a folder in Veeam ONE, and schedule that folder.
Or you can merge them using Report Builder

In upcoming v13 these fast links or table of contents have been eliminated, but the report is better in terms of usability. Wait some days until it is released and we can come back to this topic.

Good idea, but it is similar to 1. Nothing planned as of yet for this, but I agree that perhaps adding some variables into the Schedule Name could be beneficial for the future. Will discuss with the team and try to add some of these for future releases.

The idea about schedule reports to a folder, and have your own orchestration PowerShell that distribute them all with all of these changes I think it is worth to explore in the meantime. Especially as you can add an script to Veeam ONE Schedule, meaning Veeam ONE Saves the report in the desired format, then it triggers your custom PS that sends the email attaching that very file VONE created, with your own subjects, etc that PS is more versatile.

Hello Jorge,

it took us while to implement VeeamONE, which was and still is a big step for us.
We are still mainly at the reporting part which we use and which for us was most important part of introducing VeeamONE.
To us it was introduced/"sold" as "customizable" and we "yet" kind of still at the beginning and still discover many limations.

Also this topic with the "lack" of something "simple" like modifying and email template.
Since we cannot do something that "basic" in my eyes we again have to rely on further scripting for achieving this.
That I observed on several ends with Veeam where I think this should be natively built-in, but isn't...

Also I initially thought that with VeeamONE we would be able to build our own reports (from scratch), like basically use everything the database has as variables/values.
But currently for the reports it is "only" like "pre-build" report collection from Veeam which we can somewhat modify/filter...
Will that still stay like this?
Or will this be at least more opened with V13 and also access to the community, so Custom-Reports can be shared/exported/imported?
That would really elevate VeeamONE in my opinion.

When will be VeeamONE13 and VBR13 released? Is that already communicated? :-)

It is fair to come and share feedback, we are always happy to hear customers, or partners. I cannot comment on how and why was something sold that the product doesn't currently do.

Veeam ONE at least until upcoming v13, was really rigid due relying on Microsoft SSRS. This was not a limitation per-se, it was a calculated decision to have a good balance vs "here you go build your own stuff" that works well with advanced customers, vs the plug and play of having hundreds of reports ready to use (created internally using customer feedback plus our own expertise).

We have dozens of thousands of Veeam ONE installations, and couple of millions of workloads monitored. Not every Customer is equal, and we do not get much feedback about expanding Veeam ONE to the maximum because I think the sweet spot was achieved of Custom vs it just works.
Also this topic with the "lack" of something "simple" like modifying and email template.

It is simple, but we have thousands of requirements that are simple, and many other priorities like for example have Veeam ONE 100% on PostgreSQL. This email customization for what I can see it is not very commonly requested, hence we need to discuss and align it accordingly to other functionality.

That would really elevate VeeamONE in my opinion.
Said that, we have some reports that are called literally Custom Reports: These reports offer a bit of insight into that that is ready and you can add/remove from the report, and later on combine with Report Builder. Other more advanced Customers are 100% happy to either: Even today we have the export/import, but as reports are less flexible, I guess it doesn't have much sense. But in upcoming v13, with tons of customizations per report, I think this functionality it will make more sense.

Wait a few days until Veeam ONE v13 gets released, read the What's New, Release Notes, etc. And give it a try to see if it is a step forward, and we can pick it from there.

Hello Jorge,

thank you for the replies and the exchange of ideas and perspectives.
Sure from a Software Developers standpoint you can only implement as much as you can support...
From a users/admins (my) perspective this often has a bit of a feeling "why did they stop at 95%"

Will try the v13 asap and let you know my thoughts on it. ;-)
